Description of Duties and Responsibilities of Officers
2008 Election
As VOTF continues to grow as an organization, the duties, responsibilities and work of each of the officers is continually evolving based on the circumstances within and outside of the organization. Presented below is an overview of these as they have been experienced by the officers to date, as well as those legally defined in the VOTF By-Laws.
All elected Officers of VOTF are expected to:
- Subscribe fully to the VOTF mission and identity statements and all three goals.
- Agree to serve a two-year term.
- Fund their own transportation and unlimited long distance calling expense, as there is no expense account associated with any of the nationally elected offices.
- Be available for additional calls and meetings in crisis or emergency situations.
- Work closely with the Executive Director
- Be reachable during the day in the case of emergency.
President
Duties:
- The president has overall responsibility for the affairs and operation of VOTF Inc. as delineated in the VOTF by-laws.
- The president must keep the Board of Trustees and the Representative Council informed about critical developments and major activities of the organization.
- The president is an ex-officio member of all committees of the Board of Trustees.
- The president is the primary spokesperson for the organization.
- Develops institutional relationships with constituencies of the Catholic Church & other organizations.
- The president works closely with the Executive Director and Treasurer on developing the annual plan and budget.
- Oversees Executive Director in the operations of the organization and the implementation of the annual plan.
- Must be able to address situations of conflict with the ability to resolve.
Position Requirements:
Time: 30+ hours per week, under normal conditions; increases under crisis and Emergency situations.
Travel: expected to travel up to 10 trips per year at own expense
(Estimate $4,000 to $5,000 per year)
NOTE: Travel Stipend available by Board action at its 11-16-07 meeting.
Meetings: 4-6 per week (in person and/or telephone)
Good public speaker
Vice President
Duties:
- In the absence of the President, performs the duties of the President.
- Other duties as may be assigned by the Board of Trustees and the President.
- Works closely with the President and other officers in addressing short-term and long-term matters of organizational governance, policy and planning.
- Works on special projects assigned by the President, often times with the Executive Director.
Position Requirements:
Time: 15 to 20 hours per week
Meetings: 2-3 per week
Travel: limited travel required at own expense (2-4 trips per year)
Regional and National meetings and two NRC meetings per year.
Public speaking a plus
Treasurer
Duties:
- Assist Executive Director and President to prepare the annual budget.
- Assist auditors to file annual State and Federal tax returns.
- Adhere to All Audit Committee guidelines and prepare financial reports for the
- audit committee.
- Assist and be a member of the development committee of the Board.
- Present brief monthly summary at Board and VOTF meetings where required.
- Monitor spending relative to the budget on a monthly basis.
- Prepare final approved budget to the membership.
- Prepare monthly financial report for the Newsletter and website publications.
- Sign off on major expenditures within budgetary limits.
Position Requirements:
Time: 10 to 15 hours per week
Meetings: 2-3 per week
Travel: Limited travel requirement at own expense (2-4 trips per year)
Regional and National meetings and two NRC meetings per year.
Experience: Non-profit financial/accounting experience required, familiarity with VOTF Accounting systems a plus.
Secretary
Duties:
- Shall act as recording secretary at all meetings of the Board of Trustees and issue minutes of meetings.
- Maintain corporate minute records of Board of Trustees.
- Works closely with the President and other officers in addressing short-term and long-term matters of organizational governance, policy and planning.
- Other duties may be assigned by the Board of Trustees or special projects assigned by the President.
- The Secretary is responsible for overseeing a system for assuring the proper collection of VOTF records involving committees, task forces, membership and other entities.

Time: 10 to 15 hours per week
Meetings: 2-3 per week
Travel: Limited travel requirement at own expense (2-4 trips per year).
Regional and National meetings and two NRC meetings per year.
